WordPress Newsletter Plugins: MailPoet, Newsletter, and MC4WP
Compare MailPoet and Newsletter for composing newsletters and managing lists inside WordPress, and MC4WP for connecting signup forms to a Mailchimp audience. Forms, lists, editors, and delivery services have different roles; a free plugin does not establish unlimited free sending. Assess subscriber numbers and frequency together with confirmation, unsubscribe, bounce handling, and migration.
Separate collecting subscriptions from delivering messages
A newsletter sends updates to readers who choose to receive them. Its purpose differs from a password reset or order confirmation required for a particular request. Membership or an inquiry does not automatically make someone a promotional subscriber. Explain the content and expected frequency when inviting subscriptions.
A form accepts requests, a list records addresses and statuses, an editor creates messages, and a sending service delivers them. One product may combine these roles or connect several components. A success message on a WordPress form does not verify confirmed subscription or inbox delivery.
| Role | Result to check | Common mistake |
|---|---|---|
| Signup form | Fields, audience, language, and processing | Treating a successful request as final confirmation |
| Subscriber list | Pending, confirmed, unsubscribed, and other statuses | Sending to every stored address |
| Composition and automation | Content selection, recipients, timing, and preview | Ignoring first-send effects on existing posts |
| Delivery | Authentication, allowances, receipt, bounces, and complaints | Equating free list management with unlimited delivery |
Compare MailPoet, Newsletter, and MC4WP by role and cost
MailPoet: compose and manage subscribers on the site
MailPoet manages subscribers, forms, newsletters, and post notifications in WordPress. Review sender details, confirmation, and delivery under MailPoet → Settings, forms under Forms, and lists/statuses under Subscribers. A service key connects through Settings → Key Activation.
The current plan guide describes free Starter as up to 500 subscribers and 5,000 emails per month using the sending service, without Premium features. Creator uses another delivery route; Business includes MailPoet Sending Service. Compare plugin features and the delivery agreement separately, checking existing account conditions too.
Use MailPoet → Emails → New Email → Latest Post Notification for immediate or scheduled post updates. The official notification guide says the first send includes the selected editor content; later notifications use newly published posts. Updating an existing post does not trigger this notification again. Before activation, inspect the first post selection and recipients. For simultaneous multilingual publishing, test language/category scope and frequency.
Newsletter: configure the local list and delivery route together
Newsletter offers forms, lists, composition, and sending workflows in WordPress. Unlimited basic subscribers or newsletters does not grant unlimited sending through a host or external provider. Check paid additions for automated post newsletters, email series, and advanced integrations.
After its wizard, review Newsletter → Settings and Subscription for the sender, delivery rate, forms, and confirmation messages. The configuration guide describes a Public Page for confirmation, welcome, unsubscribe, and related service messages, containing [newsletter]. Replacing it with a signup-only shortcode or removing the page can break the process. Multilingual sites need corresponding service pages and messages.
Match sending speed to hosting hourly/daily limits using the delivery and scheduling guide. SMTP, a mail-delivery protocol, may be supplied by an existing WordPress mail tool. A Newsletter-specific delivery addon need not route the site’s other emails in the same way. For a stalled queue, check status and scheduled jobs before restarting the entire campaign.
MC4WP: connect signup requests to Mailchimp
MC4WP: Mailchimp for WordPress connects forms to a Mailchimp account. Campaign composition and sending remain in Mailchimp, so its role differs from a complete in-site editor. Connect the API key in settings, then choose the audience, fields, and messages under Mailchimp for WP or MC4WP → Forms. Insert the provided block or shortcode.
An Audience is Mailchimp’s contact collection. Check required fields and the chosen destination, then inspect the form’s Use double opt-in? setting. Changing Mailchimp’s own hosted-form options does not establish the same behavior for an API-connected MC4WP form.
The current Mailchimp plan guide lists Free as up to 250 contacts, 500 monthly sends, and 250 daily sends. Do not budget from an older “500 free subscribers” statement in the connector description. MC4WP Premium and Mailchimp service fees are separate. Unsubscribed and non-subscribed contacts can count toward contact allowances; inspect the actual account.
Check pending confirmation and unsubscribe states
Double opt-in requires clicking an emailed confirmation link after signup. It helps address mistyped addresses and automated requests and supports verification of the signup process. It does not settle every notice or consent question. Understand the confirmation process and check the specific form integration.
| Status | Operating rule | Test |
|---|---|---|
| Pending confirmation | Separate from ordinary confirmed recipients | Confirmation email, language, and retry/expiry guidance |
| Subscribed | Send the chosen topic, language, and frequency | Welcome message, list selection, and duplicate signup |
| Unsubscribed | Exclude from subsequent promotional sends | Unsubscribe link and continued exclusion after import |
| Bounced or complained | Stop or review sending according to service status | Results flowing back from the chosen delivery route |
Explain content and frequency and collect only necessary fields. If adding a subscription option to an inquiry form, distinguish it from the inquiry itself. Check the unsubscribe process without requiring an account login and make it usable on mobile.
Verify sender-domain authentication and delivery, bounce, and complaint processing for the actual route. “Sent” does not guarantee inbox arrival. Email-app image blocking and automatic loading can affect open rates, so do not treat them as an exact proportion who read the content; consider useful clicks, unsubscribes, and bounces together.
Verify delivery and migration with a small test list
Review installation preparation and backup, then use test addresses you control. Separate them from the live readership rather than sending readers experiments or changing their statuses.
- Test signup and confirmation. Try a valid address, invalid format, and duplicate request. With double opt-in, compare status before and after following the confirmation link.
- Check recipients and content. Review list, language, categories, frequency, subject, sender, reply-to, body links, and unsubscribe. Confirm the test address is in the intended list.
- Separate sending from receipt. Check approval, authentication, allowance, and queue, then compare logs with the test inbox and spam folder. Distinguish confirmation delivery from campaign delivery.
- Verify the first automated selection. Inspect existing posts included initially and how new publication differs from editing. Use an environment without live readers, then restore test content and settings.
- Check exclusion after unsubscribe. Process a test recipient’s link and confirm exclusion from the next recipient selection. Verify that bounce/complaint results are reflected by the actual service.
- Verify migration data. Preserve status, lists, language, necessary consent records, and suppression information as well as addresses. Import a small set first, compare statuses, and avoid duplicate welcome messages or automated campaigns.
If signup succeeds but the subscriber is missing, inspect the correct audience, pending state, and confirmation email first. For slow delivery, check limits, scheduling, and the queue. Restarting a partially sent campaign can duplicate messages, so inspect processing history before resuming.
Before switching or ending service, review scheduled automation and form connections, preserve required records securely, and verify the replacement process. Simply deleting an unsubscribed address can lose its suppression status when an old list is imported again. A useful setup honors the promised updates and the reader’s choice to stop receiving them.
